Our client is seeking a highly experienced Travel Operations Manager to join their team in New York, providing comprehensive travel support for the Principal, the Principal’s family, friends, guests, business associates, and the Family Office. This position will report to the Operations Manager and work closely with a team of three Travel Operations Managers, two located in the Bay Area and one in New York. This is a brand new position in a very busy department, offering a competitive salary of $160,000-$180,000 base DOE plus a discretionary bonus, full benefits including medical, dental, vision, 401(k) with match, and generous PTO. Primary Purpose and Function:

Responsible for managing all aspects of private and commercial travel, both domestic and international, including air, hotel, and ground transportation. The ideal candidate will have a strong background in private travel experience, exceptional organizational skills, and the ability to work in a fast-paced environment while maintaining a high level of attention to detail.

Essential Functions and Responsibilities:

  • Manage all aspects of private and commercial travel, including air, hotel, and ground transportation
  • Organize and plan travel arrangements, accommodating frequent, last-minute changes efficiently and effectively
  • Prepare complex travel itineraries across multiple destinations and manage last-minute updates
  • Coordinate dining reservations, catering services, and restaurant recommendations, taking dietary and culinary preferences into account
  • Process reimbursements for travel expenses
  • Maintain records and filing systems
  • Provide timely responsiveness outside of “regular” business hours and some on-call weekend work required

Minimum Qualifications:

Experience, Skills, and Certifications:

  • Significant proven experience managing all aspects of private and commercial travel for a family office
  • Strong working knowledge of Fixed Base Operations, private air and maritime travel
  • Experience working with high-net-worth individuals and understanding their travel and communication needs
  • Excellent organizational skills and exceptional attention to detail
  • Able to work under pressure with constant deadlines and changing priorities
  • Strong verbal, written, and telephone communication skills
  • Proficiency in travel management software, particularly Concur
  • 4+ years of longevity in past positions, excellent references from past employers
  • Valid unrestricted driver’s license, adequate vehicle insurance coverage, and vehicle for use in performing job duties and travel among the Principal’s properties
  • Authorized to work legally in the US and willing to undergo an in-depth background investigation
