Executive Personal Assistant for Entrepreneur – Sherman Oaks A LOVELY but very busy Executive with several businesses, seeks an Executive /Personal Assistant to provide  support to the founder.  This client’s husband is also very very busy and runs a studio division   They also have children so life is fill. The EA PA will be assist in ensuring timely and efficient coordination of all personal functions. The role will support him in day-to-day activities, working with internal and external contacts and will be based in Sherman Oaks (Los Angeles), California. The EA/PA will ensure high levels of professionalism, organization, proactive solutions and problem solving in an efficient and tactful manner. This role will suit a polished, confident, friendly, and experienced person who can effectively deliver on a high volume of work in a changing and fluid environment. We are seeking a true career Executive/Personal Assistant who is extremely TECH savvy, Computer and Outlook proficient as well as 100% discreet at all times and handles all matters as related to the principal with the 1000% most privacy.  The ideal person thrive son keeping someone who is OCD very organized and streamlined at all times. Sherman Oaks IN office — except when client is traveling MAY be able to work from home
Monday through Friday 830am – 6pm , with ability to check schedule in AM
Salary up to 130K DOE plus Benefits and 401K
Manage his personal and business calendars, events & contacts. Proactively updating and monitoring schedules and appointments to avoid scheduling conflicts. Work closely with his company’s leadership to ensure timely, professional support
Coordinate communications, including taking calls and responding to emails. Organize and schedule web-conferences; ensuring he has all applicable details in a timely manner
General duties include making reservations for travel and meals, event planning, answering phones, managing vendors, shopping and running errands such as grocery shopping, dry cleaning, and supply pick up
Coordinating all domestic and International Travel, including but not limited to, familiarizing yourself with the specifics of: use of flight passes, scheduling black car services, and scheduling private charter flights, all while creating and updating detailed travel itineraries that are fluid
Personal Shopping for executive/family
Coordinate with husband’s EA
Assist with personal real estate portfolio
Personal shopping for him and occasionally for family members.
Assist with personal real estate portfolio including primary residence and other properties.
Oversee management including licensing and maintenance of vehicles
Event Planning & Coordination (personal seasonal, holiday, dinners, etc.)
Manage personal vendors such as housekeeping, drycleaners, mechanics, and other service providers.
Manage scheduling of all personal medical appointments.
Track and manage family milestones (arrange gifts, cards, communication, holiday shopping etc.)
Interact with his business team to manage bill payments & account reconciliations (e.g., personal expenses)
Meet monthly with personal bookkeeper to review statements and personal expenses.
Research as required (ability to resourcefully track down information and/or unique items).
Ability to work closely with hi business administrative team and other departments and team members as required

COMPETENCIES:
Minimum 5 years supporting C-Level Executive as an executive assistant or personal assistant in an entrepreneurial environment.
High degree of comfort with various Apps and adapting to the use and integration of new Apps as part of daily work routine.
Strong working knowledge of the Microsoft Office Suite of tools including Word, Excel, Power Point and Visio.
Can easily digest constructive feedback and use it as a learning opportunity and move on.
Must be organized and detail oriented; avid note-taker and list-maker.
Comfortable with ambiguity, establishing processes and problem-solving methodology
Honest, trustworthy and discrete in all matters.
Strong work ethic, integrity and tolerance of stress created by a dynamic and changeable environment.
Degree in administration and or marketing preferred.
Has a reliable vehicle and is comfortable with some degree of local travel.
Available to work evenings and weekends, on an on-call basis.
EXPERIENCE – 5 plus years supporting a C-Level Executive: 3 years (Required), Microsoft Excel: 2 years (Preferred), Drivers License
