Schedule: Monday through Friday, Part Remote/ Part in Office in Santa Monica – PLEASE be vaccinated

Compensation: 90K- 150K DOE plus Benefits and 401K

A lovely gentleman with several businesses in various areas of securities, family office and other areas, seeks a newly created Executive Assistant.  He has yet to have someone and needs assistance in managing all of the various needs for each business. MUST be discreet, polished and most of all caring in that you perform well and enjoy making life easier for the principal. DISCRETION is key due to the nature of his billionaire and celebrity clients.

Duties will include but are not limited to:
Act as primary gatekeeper for the CEO
Manage day to day Schedules/Calendars for business and personal
Organize Travel for business and family trips
Manage personal reservations and appointments
SET reminders for the principals and always ensure that they are kept abreast of their appointments and or agendas and to do lists
Use Excel spreadsheet to keep track of “to do list” and mark off what has been managed
Maintain relationships and research
Assist with creating any systems for the office to keep organized information.
Keep files for paperwork as related to all various insurances for home and business
Create and maintain updated Rolodex for business/family/friends as well as keep track of birthdays and special occasions
Coordinate and maintain basic computer clerical tasks:  Accounting expense reports, tracking receipts, petty cash credit card reconciliation, paying vendors, reviewing contracts

5 plus years as a Executive Assistant
4 year degree preferred
Excellent written and verbal communication skills with a polished and professional demeanor regardless of any informal nature of the role
Ability to work independently as well as within a team
Proactive and bright with high cognitive and problem solving skills
Detail oriented with exceptional organizational skills
Ability to prioritize tasks as they arise as well as multi-task effectively
The most successful person for the role will be kind, upbeat, self assured, self starting, and able to “read a room”
Excellent skills on the computer inclusive of all Microsoft Office, Tech Savvy
Excellent References
Ability have a squeaky clean Background check — all areas as well as Driving Social Media etc
PLUS – having had experience with high-net-worth families
