Executive Assistant/Right hand Person to Global Manager of Agent for High Style Photographer Agency – Growth role!

Salary:  70K – 100K DOE Health Insurance, 401K

Monday through Friday: 9am – 6pm with flex as a client’s traveling via EMAIL

A Global Director,  for an agency representing some of the world’s leading photographers, who are behind some of the most memorable fashion campaigns such as LVMH,  Estee Lauder, Chanel, Dior etc., is seeking a dynamic and very capable Executive Assistant. This is a wonderful opportunity to grow into a junior agent or a producer in this sector of the business.  The Global Director is very experienced, is able to teach a vast amount about the business.

This position requires someone who is reliable and efficient. It’s also important that applicants be comfortable navigating a variety of personalities and situations, with the ability to power through the especially busy times.

We are looking for someone accustomed to interacting with high–level artists, who preferably has experience with high-end clients, is extremely organized, pleasant and respectful, and who can also manage intense shoot and post production schedules. The position requires flexibility with your time, as you will be working nationally and internationally across various time zones. Must be available on email weekends as necessary, and after hours during high shoot season. There are some basic fundamentals that the EA will have to attend to daily.

Duties will include but are not limited to:

·       Liaise with the executive’s team and act as gatekeeper for other team members and clients
·       Ensure the most basic of details are attended to as related to shoots and travel for clients.  YOU will be responsible for the boiler plate needs such as:  Travel itineraries which include booking flights/hotels/cars.
·       Work on team workflow and help create efficiencies
·       Work on client outreach lists and scheduling (would require someone with fashion experience and interest)
·       Work on VIP itineraries for higher profile clients (photographers)
·       Work to some extent on production related
Managing the Chief Executive’s schedule, scheduling meetings and planning travel
Requirements include:

• Minimum of 2 years of experience as an assistant preferable at another agency and or in the fashion sector but understands the “service” side of the business

• Must be extremely organized and comfortable multi-tasking

• Strong interest in photography and the fashion industry

• Excellent communication skills

• Ability to work under pressure with tight timelines

• Experience booking and managing VIP level travel

• Problem solving, positive attitude

• Willingness to jump in on projects in the midst of a busy team atmosphere

• Adaptability with new computer programs, proficiency in Word Press, Photoshop, Excel, Word, Power Point, and Adobe Acrobat The position’s responsibilities include:

• Liaising with high-end international clients in the fashion industry

• Coordinating with production companies, talent agencies, photography team, stylist team, hair and make-up agencies, studios, retouchers, EQ companies, etc

• Leading some productions independently – including managing options on all teams including assistants, beauty teams, stylists, set designers as well as booking studios, equipment, casting models, managing/negotiating rates with all vendors

• Communicating and coordinating information on a daily basis with the photographer’s studio on all aspects of upcoming shoots and travel

• Maintaining and overseeing budgets

• Arranging all travel for artists including flights, hotel, car service and specialized services in coordination with their studio

• Preparing detailed itineraries for each team member for all travel

• Invoicing, closing out jobs, reconciling and coding American Express statements

• Coordination of post-production with client, retouchers and artists
