Executive/Personal Assistant for Actress – Beverly Hills

Monday through Friday with flex as needed— FULL TIME role

Salary: Up to 150K DOE – trying to see if there are stipend towards benefits.  Believe they are open

PLEASE be Vaccinated! COULD be travel involved as well

A dynamic and prolific actress for FILM/TV seeks a LONG TERM EAPA to work with them to ensure their daily life is organized. The ideal person will have no ego, is a problem-solving human who is kind, interested and very capable. This client is a working mother so life is very busy

MUST have experience in entertainment, preferably as a personal assistant to another very busy actor.  They desire to work with someone who is capable and can make life easier , always.

Duties will include but are not limited to:

Scheduling and maintaining calendar and providing daily updates to client on schedule. Scheduling includes both personal and professional commitments (meetings, calls, work meals, fittings, doctor appointments, events, etc)
Field requests and run approvals by client in a timely and efficient manner.  Will be able to be a buffer for the client from their management team and capable of answering questions.
Oversee all aspects of client’s personal and business endeavors
Work with and keep constant communication with client’s representatives, business partners and production to coordinate work/shooting schedules
Act as liaison between client and productions as needed.
Work closely with client’s publicity, glam and styling team to ensure everything goes smoothly on press tours, award shows, commercial campaigns, etc
Book personal travel/vacations and overseeing travel arrangements for business commitments, including commercial/private flights, hotels, greeters, car service and misc.  reservations
There may be occasional travel with client for work trips and coordination on the ground for press tours, personal appearances, films/TV shows, etc
Purchase personal items for client and purchasing sending gifts for birthdays, special occasions, holidays. Keeping track of all birthdays and special occasions that require gifting
Oversee houses and work with housekeeper and grounds people at the various homes.  Responsible for  ensuring the property is being run efficiently.  Create manuals, efficiencies and systems.
Keep track of various projects and knowing what is needed for action items on each.
Carry out various personal needs including: shopping, refilling supplies at the house, prescription fulfillment, organization/cleanliness of the house, troubleshooting issues with client’s technology/hiring vendors or repair people as needed
Plan and execute events at the property (holiday parties, birthdays, misc. celebrations/dinners), hire/work with event staff and vendors, coordinate invite lists, décor, entertainment, etc

Qualifications

Previous higher level entertainment assistant experience required
Must be hyper organized and able to manage multiple tasks/responsibilities at once
Excellent communication/interpersonal skills and ability to read social situations well
Work well under pressure, be proactive, and able to think multiple steps in advance
Dropbox, Google Suite/Calendars, Microsoft Office experience is a necessary- TECH Savvy
