House/Estate Manager (must be open to errands)

Montecito, CA (MUST live within 30 mins OR willing to relocate to Santa Barbara area)
Monday-Friday from 9-6pm, but may vary MUST BE FLEXIBLE AFTER HOURS AND ON WEEKENDS.
Monday-Friday you would work in the home (hands on, active around the house, coordinating vendors as needed, face to face with the principal)
May be asked to work up to 5 weekends a year for special events and some holidays during the year. Christmas Day and New Year’s Day are normally off due to the families travel schedule.

Principal is extremely organized and is OCD, must have the same tendencies to be successful.

Requirements:
Work very closely and communicate via multiple chats with principal/drivers/house staff, and the other principal’s assistant
Works well under pressure, be proactive, and able to think multiple steps in advance with back up plans
Self-motivator
Able to roll with the punches as there are often several moving parts / changes
No task is too big or small (this is a no-ego role)
Must have excellent communication/interpersonal skills and ability to read social situations well
Be hyper organized and able to manage multiple tasks/responsibilities at once
Be incredibly diligent and detail oriented
Must be thick-skinned
Must be confident and comfortable delegating
Must be proficient in Microsoft Office (Outlook, Excel), tech savvy, and MAC savvy
MUST BE DOG FRIENDLY (there are multiple dogs in the home)

Job Duties include but are not limited to:
Estate calendar management, bookings, email correspondence
Responsible for staff schedules, time off approvals, etc.
No crossover duties with the personal assistant. Your primary focus is the home.
Arranging all travel logistics for work trips/vacations for the principal and staff (as needed)
Putting together detailed itineraries for each trip
Liaising with household staff, drivers, housekeepers, gardener, etc on job duties that need to take place within the home
Responsible for liaising/scheduling repairs with contractors and suppliers
Order/purchase any supplies that the household request (principals and house staff)
Responsible for credit card account itemizing and receipts
Responsible for vehicle registrations and insurance
Knowledge of off-site storage units and contents in them
Perform/delegate shopping and errands in accordance with employer’s guidelines
Create checklist and database for vendors and suppliers
Detailed communication to the principal on purchases, delivery times, and returns
Responsible for processing all returns in a timely manner and update document in real time
Scheduling the florist when needed
Schedule errand runs with driver in order to be available with the principal (example: dry cleaning pick ups, etc)
Keeping property/financial spreadsheet up to date (monies spent, etc)
Assisting in preparing home for guests / communication of proper information to staff
Submitting medical bills to insurance on behalf of family and dogs
Responsible for all medication refills for family

Pets: responsible for overseeing medical, food, vaccines, grooming, trainer, etc
