We are seeking a dynamic and detail-oriented individual to join our team as an experienced Executive/Personal Assistant to the Co-Owner of our busy entertainment marketing firm. This hybrid role involves 50% executive assistant duties and 50% personal assistant duties, focusing on maintaining the smooth operation of our busy executive’s professional and personal life.
Requirements:
3-5 years of experience on a busy C-level entertainment desk.
Hyper-organized with excellent work ethic.
Passionate about pop culture, fashion, influencers, and events.
Strong multitasking and communication skills.
Eager to learn and adapt.
Responsibilities:
Manage the executive’s schedule, calendar, meetings, calls, appointments, and travel arrangements.
Prepare expense reports and provide administrative and client support.
Assist with special projects and events, including updating client status reports, tracking RSVPs, creating face sheets, etc.
Create pitch materials and case studies for current and potential clients.
Stay up-to-date on current events within the entertainment landscape, particularly regarding brands and talent.
Manage and update special projects and events case studies and digital wrap reports.
Qualifications:
3-5 years of experience on a busy C-level entertainment desk.
Proficiency in Google Suite applications, Microsoft Suite, Adobe Illustrator, and Photoshop.
Ability to make independent decisions in a fast-paced environment.
Collaborative mindset to work with administrators, support personnel, management, and clients.
Attention to detail, strong organization, and problem-solving skills.
Ability to prioritize tasks effectively.
