Duties include, but not limited to:

Executive Administrative Assistant /Office Administration

  1. Schedule the photographer’s appointments, creating itineraries for his travels.
  2. Manage the payment of employees and contractors, generating invoices, keeping records of invoices and various monthly payments.
  3. Managing time tracking for employees and contractors, helping oversee vendors.
  4. Oversee general office maintenance including supplies, planning lunches, team building events, etc.
  5. Serve as liaison between the company and office building management.
  6. Perform weekly, monthly & individual company reports.
  7. Manage in-office product inventory count and reconcile on a weekly basis.
  8. During peak times, assist customer service team when necessary.
  9. Lead & manage corporate gifting initiatives for publicity purposes.

Personal Assistant

  1. Assisting the photographer and family with various scheduling needs, including party/event and shoot planning, personal travel planning, creating itineraries, and more.
  2. Some home-related items, including meeting vendors for certain projects at the house related to shoots, events, and other business functions.

Production Coordination

  1. Assist and the creative team with the planning of photo shoots, creating itineraries, securing permits, ordering props & helping on site if necessary.
  2. Spearhead the coordination & communication with vendors, talent, and property locations.

Required Skills & Experience:

  1. Experience in an office administrative role (1 year)
  2. Experienced with Microsoft Word & Excel, along with Google Docs & Sheets (1-2 years) and able to do reporting based on Excel formulas and pivot tables.
  3. Knowledge of direct-to-consumer retail concepts including SKUs, inventory, margin, and other basic metrics.
  4. Extremely organized & professional

  7. Ability to occasionally work within quick turn-around times.
  8. Ability to work productively & self-manage.
  9. Familiarity with Photoshop a plus (1 year)
